How to find safety data sheets for cleaning products

To obtain an SDS for a detergent, degreaser or cleaner, start with your supplier or the manufacturer identified on the product. Provide the exact reference, country of use and required language. A PDF found using a generic term such as “detergent” does not establish that it covers the product you purchased.

Where to look for the SDS

Check the manufacturer’s document area or request the file from your supplier. Some manufacturers separate technical and safety data sheet searches; Henkel provides an example. Spanish-language portals may use FDS or HDS for safety data sheets. Retain the source link and received file so colleagues can return to the original source.

Example of a manufacturer providing separate TDS and SDS searches. QuiMatrix is not affiliated with this manufacturer; the request workflow is our own suggestion.

What to gather before requesting it

Record the trade name, manufacturer, product code and purchasing supplier. Identify concentration or presentation where variants exist and the information is available. Include the country of use and the language your team needs. A label photograph or order reference can help the supplier resolve incomplete identification.

How to check that it is the right sheet

Compare the document’s identification with the product. Check the issuer, language, date or version and stated market. If references differ, do not assume equivalence because names look similar: request confirmation. A competent reviewer should assess whether the information received is appropriate for the specific use.

How to request an up-to-date SDS

State which version you hold and ask the supplier to confirm the current documentation for that reference and market. Keep the document date separate from its download date. If the supplier confirms there is no change, retain the response. If it sends a revision, keep both originals and review differences before replacing working documentation.

What to do if it is missing or does not match

Keep the request open with an owner and a next action. Do not close it using a TDS, another product’s sheet or a file of unknown origin. Refer the information gap to colleagues responsible for use and safety so they can decide how to proceed. This guide organises document retrieval; it does not determine whether a product may be used.

Checks before filing an SDS

CheckWhat to record
IdentityExact reference, name and supplier.
ContextLanguage, stated market and product variant.
SourceManufacturer or supplier, source link or received reply.
DatesDocument version and receipt date recorded separately.
Follow-upReviewer, outstanding questions and next action.

Illustrative example: a cleaning company finds an SDS for a ready-to-use degreaser but purchases the concentrate. It keeps the finding as search context and asks its distributor for documents covering the purchased code, rather than filing the result as the confirmed concentrate SDS.
